Program Manager for the Office of VP Information Technology

Program Manager plans and coordinates multiple projects to ensure the timely completion of activities and tasks in support of the research and outreach mission of the Office of Advanced Research Computing (OARC). Coordinates internal and external resources for the flawless execution of collaborative industry and research technology programs, including virtual and in-person events, workshops, meetings, bootcamps, courses, working sessions, board meetings, committee meetings, and multi-team collaborations.

Program Manager will provide support through project initiation and planning, meeting facilitation, creating, analyzing, and disseminating agendas, reports, survey data, proposals, documents, and substantial communications with a variety of stakeholder communities. Develops and executes defined processes and follow-up procedures to enable project completion.

Program Manager builds key relationships with program stakeholders, and works across key university units, including UCLA Legal Affairs, OARC Admin/Finance, Department of Engineering, Department of Statistics, Career Services, Technology Development Group (TDG), UCLA Development Office, select Student Groups, and others as required, to ensure execution of university and public-private partnership programs. Schedules develops, and plans communications to executive board members, committee members, program participants, support staff, service providers, and others as required to achieve program milestones.

Assesses, tracks, and updates content on various communications platforms and ensures stakeholders have up-to-date and relevant information. Researches, facilitates and collaborates for the development and refinement of brochures, presentations, and outreach materials. Creates and maintains up-to-date program membership and stakeholder distribution lists and directories using a CRM, listservs, and other tracking databases as appropriate, reviewing periodically to ensure accuracy of information. Outreaches to current and prospective members and sponsors, as appropriate. Analyzes data and facilitates introductions for potential UCLA-industry research partnerships, as directed. Maintains confidentiality and privacy of stakeholder information.

Program Manager develops, documents, shares plans and tasks, gains buy-in, achieves milestones, aggregates resources, and meets deadlines. Works with stakeholders to meet budget targets and alerts of any potential budget issues.

Participates in programs and contributes to progressive improvement of program through observation, assessment, preparation, and analysis of data, trends and client feedback.
